Humanitarian Emergency Affairs Intern

MAJOR RESPONSIBILITIES

Information Management and Data Administration

  • Contribute to the definition of information requirements and the development of data flows, data quality assurance & quality control, and   information management standard operating procedures and guidelines
  • Support with the design, development and testing of data collection forms using Esri’s ArcGIS technology (i.e. Surveys) or other platforms (i.e. ODK, Kobo etc).
  • Consolidate humanitarian response data from 9 field offices, and coordinate the development of information products such as situation reports, maps, funding appeals, sector infographics, GIS, data visualisation, maps, official statistics and other data and information management activities.
  • Support the documentation of all HEA products including best practices, approaches, Real Time Learning etc
  • Manage HEA Box and TEAMs platforms to ensure ease of access of documents.
  • Maintain an updated humanitarian response register and action points running sheet. Improve data quality in the region/countries through field support, monitoring and feedback.
  • Work closely with humanitarian advisors and Anticipatory Action Coordinator to ensure the data is fit for the purpose.
  • Develop information management products such as web/desktop maps, dashboards templates, and dashboards using tools such as Power BI, Esri’s ArcGIS technology and Tableau.
  • Support the gathering and analysis of primary and secondary data for interpretation and evidence-informed decision making and package these for use

Administrative Support

  • Support in preparation of key events organized by HEA e.g trainings etc
  • Support in capturing notes and minutes for meetings and any other as assigned.

Interdepartmental Support

  • Actively participate and support resource mobilisation efforts for humanitarian and disaster risk reduction interventions.
  • Working with HEA, Advocacy and Communications department in amplifying the voices of children and evidence-based impact through identifying potential stories and content that can be multi-purposed.
  • Support and coordinate with the Regional Office and FOs in development of regional blogs and opinion pieces that can be published externally (View, wvi.org) internally (Ignite).
  • Work closely with RAM as per request to provide any necessary support

External Engagements:

  • Participate in critical meetings with key stakeholders when delegated to ensure WV is well represented.
  • Consolidate write-ups of external meetings for internal sharing.

Other Duties

Required Professional Experience

Advocacy & External Engagement Intern

MAJOR RESPONSIBILITIES

Monitor and Report on Field Office Advocacy Progress (Impact)

  • Schedule, send the agenda and take meeting notes for dissemination and filing in Box for Regional Advocacy Forum (quarterly), 9 FO bimonthly (once every two months) calls, External Engagement Meeting, East and Southern Africa Region Joining Forces Alliance (ESAR JFA) Technical Working Group
  • Update the EAR, FO and external partners contact list
  • File and organize the EAR Advocacy documents in Box
  • Draft the quarterly FO report including people reached, children reached and policy changes
  • Update the key events from 1 October 2023 – 30 September 2024 including people reached and children reached

Research and Analysis (Influence)

  • Draft 4 policy briefs (one per quarter)
  • Update the EAR statistics table quarterly

Networking and External Engagement

  • Participate and learn from the monthly or quarterly Working Groups e.g. Regional Protection WG, Regional GBV WG, Inter-Agency (IAWG) Working Group – Advocacy and Communications.

Finance Intern

MAJOR RESPONSIBILITIES

Accounts Payable Function

  • Process cheques / Online payments with supporting documentation and submit for review and subsequent payment
  • Prepare monthly creditor reconciliations and liaise with vendors to ensure prompt clearance or resolution of pending or disputed items.
  • Liaise with the Finance Officer to clear outstanding items in the Bank Reconciliation

Cash/Advance Settlement Management

  • Process cash requests according to policy, processes and agreed turnaround times while coordinating with the onsite bank teller to reconcile uncollected amounts.
  • Account Allocation of Balance Sheet A/C relating to Advances for proper Aging
  • Manage the corporate credit card process by booking expenses in expense reporting systems, General Ledger reconciliation

Inter-office payment settlement system operations

  • Perform Account allocation of 500 Accounts relating to Inter-office payment settlement system to track and establish amounts that have not been allocated for payments to ensure that all payable amounts are sent out on a monthly basis.
  • Perform account Allocation and reconciliation of balance sheet accounts as may be required

Document Management and Archiving

MAJOR RESPONSIBILITIES

Statutory Management support

  • Ensure the remittance of NHIF; NSSF, NITA and HELB and other staff contributions are made to the relevant authorities by 9th of every month
  • Ensure statutory files are also updated with remittance advices or any other proof of remittance

Onboarding and Staff Exits Management

  • Collaborate with HR and department heads to prepare orientation schedules for new staff members.

Administer and support in the management of National Staff benefits scheme
